Sales Administrator, Gowan Auto

Gowan Auto, importers and distributors of multiple motor brands in Ireland, are seeking to recruit a Sales Administrator reporting to the Head of Sales for Fiat, Fiat Professional, Jeep, Alfa Romeo and Honda vehicles. The role will have inward facing responsibility, managing day-to-day administrative support across the department. The role will also have external facing responsibilities, coordinating meetings and diaries, preparing documents, tenders and presentations. The successful candidate will have excellent attention to detail, a proactive approach and adopt a professional and helpful culture at all times. Experience of working at a busy pace and handling a high volume of work will be required. Excellent customer service skills are also essential. In addition to the daily duties there will be some project work, bringing diversity to the role. We are looking for an enthusiastic administrator keen to develop themselves and who can demonstrate previous experience of taking a role and making it their own. Key Responsibilities:

  • Liaise with internal and external customers, ensuring a high level of customer service.

  • Update all internal databases & systems.

  • Create vehicle and customer records facilitating the development of an accurate, clean customer business database and vehicle history.

  • Run daily and weekly sales reports figures for distribution to the management team.

  • Assist in the organisation and set up of events on an ongoing basis.

  • Deal promptly with all email and telephone enquiries.

  • Proactively produce reports, agendas, minutes, PowerPoint presentations and Excel spreadsheets to a high standard, in a timely fashion and to a consistent style and branding.

  • Work closely with the Training Coordination Manager to ensure the timely completion of mandatory training in line with commercial policy.

  • Manage demonstrator plan with Dealer Network and finance provider.

  • Produce monthly Dealer Performance report, Hire Drive report, Dealer performance by county.

  • Provide fleet administrative support.

  • Manage transfer of ownership of company vehicles.

  • Process motor tax for company and press vehicles.

  • Process demo credits due to Dealer network.

  • Support Key Account Managers in their daily needs.

  • Carry out competitor activity analysis as required.

  • Other general sales management administration as determined by Head of Sales.

Key Attributes:

  • Full, clean driving licence.

  • Strong team-working skills.

  • Administration-related experience within the automotive industry a distinct advantage.

  • Working knowledge of commercial database systems.

  • Excellent organisational, communication and interpersonal skills.

  • High level of attention to detail.

  • Must be IT proficient, specifically in Excel, PowerPoint, and Word.

  • Some experience in event management would be beneficial.
