Ombudsman for Children Office: Corporate Services Project Administration Officer


The OCO invites applications from interested candidates for the position of Corporate Services Project Administration Officer. About the OCO The Ombudsman for Children Office is an independent statutory body that promotes the rights and welfare of children and examines and investigates complaints made by or on behalf of children in relation to the administrative actions of public organizations that have, or may have, adversely affected a child. Key Responsibilities This role will provide administrative support to a wide range of projects, including post-implementation maintenance, within the Corporate Services Team – Governance, Finance, HR and ICT. Compliance

  • Support the implementation and the ongoing maintenance of the Public Sector Duty across the OCO.

  • Facilitate the Corporate Services in the development and maintenance of policies and procedures. Maintenance of a central register for policies and procedures for the Office.

Procurement

  • Provide support for procurement processes within the Office.

  • Maintain the contract register and keep it up to date, liaising with staff internally.

Finance

  • Assist with a new system for the finance area from the pre-project stage.

  • Provide support to the finance team and cover as required.

Data Protection

  • Act as the data protection champion for the Corporate Services team liaising with the Data Protection Officer.

  • Provide assistance with the implementation and ongoing maintenance of our data protection policies and ensure privacy by design in all new system projects.

Data and records Management

  • Facilitate the development and implementation of a pack of policies and procedures related to data and records management.

  • Help with the ongoing maintenance of eDocs

Project Management

  • Assist with the roll out of a simple project management methodology for the Office and provide ongoing support to the staff

HR and facilities

  • Support the implementation of the office refurbishment project.

  • Facilitate the post-implementation of a new Human Resource management system as required.

Essential Requirements: Candidates must have:

  • A qualification of at least level 6 of the National Framework of Qualifications from a recognised university or other third level institution in administration, Business, Project Management or a related discipline;

  • A minimum of 3-5 years’ relevant experience in a similar role;
