LYCS: Executive Assistant (Part Time)


Executive Assistant New exciting career opportunity for the right candidate! (20 hours per week with option for hybrid work) We are looking for a high calibre Executive Assistant to join our long established community development organisation. www.lycs.ie As an Executive Assistant to the CEO, you will play a critical role in supporting our mission of community-based education, training and development. You will work closely with the CEO and Senior Management Team to ensure that day-to-day operations run smoothly, while also taking on important tasks such as overseeing governance, managing social media, scheduling meetings, and organising events. This is a challenging position in a busy office and the candidate must be able to demonstrate an ability to work accurately under pressure. This role requires attention to detail, solid organisational skills, discretion, and the capability to deal with confidential material. DUTIES AND RESPONSIBILITIES:

  • Gatekeeper: act as go-to person for the CEO.

  • CEO requests: collect and manage all ad-hoc requests from the CEO and ensure they are delegated to the appropriate Programme Manager.

  • Daily Progress Management: work closely with all managers to ensure priority tasks are being completed on time.

  • Team Updates: organize and manage all tasks, creating an end-of-day report for CEO.

  • Reports: manage reports from each Programme for the Board.

  • Meeting Tasks: take minutes and make note of all tasks from meetings for Senior Management Team

  • CEO Mindset: understand the CEO over time and develop the ability to make small decisions on behalf of the CEO.

  • Data information: Maintain accurate records and files for LYCS programmes, participants, and volunteers.

  • Event planning: Assist with event planning and coordination, including preparing materials, setting up rooms, and coordinating with vendors.

  • Finance: Process invoices and expense reports.

  • Manage social media accounts and website content for LYCS.

  • Uphold a high level of confidentiality and professionalism in all interactions with staff, participants, and partners.

  • Assisting with all aspects of Corporate Governance compliance
