Job Description Summary: Our Global Merchant Services team is seeking a high performing Executive Assistant to provide sophisticated administrative and operational support for our Senior Vice President, Global Merchant Services. In this role you must be comfortable working in a fast-paced environment and be extraordinarily capable of juggling diverse responsibilities with tact and flexibility. Additionally, you will need to be a masterful problem-solver, exceptional communicator, and an organizational force. Day to day you are expected to understand business priorities, provide complex calendar management, deliver operational excellence, and proactively anticipate and support the needs of our SVP. Job Description: Primary Job Responsibilities
Conserve and optimise the SVP’s time and priorities and proactively anticipate needs.
Provide complex calendar management via Outlook. Provide proactive support including vetting, prioritizing, and providing recommendations.
Strategic approach to coordinating and scheduling meetings. Ensuring requests have a clearly defined purpose and time zone sensitivities are considered.
Manage standing meeting preparation by collecting relevant background materials, crafting agendas, taking careful notes and drafting action items.
React with appropriate urgency to requests/situations that require a quick turnaround and take effective action without having to know the whole picture.
Align with SVP on weekly priorities. Understand and help to execute our people and business priorities and processes.
Help send quality org-wide communications and meeting invites on SVP’s behalf
Help manage cadence of meeting forums and provide logistical support to run presentations.
Event organization and management of site visits, team on and off-sites and fun activities.
Manage expenses and travel arrangements expeditiously and accurately.
Foster strong relationships and trust with Executive Assistants, Business Operations and key business partners across Global Merchant Services and PayPal
Experience and Skills
10+ years’ EA experience supporting SVP / EVP+ executives in a fast-paced, dynamic work environment.
Strong proficiency in Microsoft Outlook, PowerPoint, Word and Excel
You love to bring structure to your team environment. You can orchestrate resources and organize schedules, plans, projects and assets.
Demonstrated ability to think strategically and prioritize leaders’ calendar based on rapidly shifting priorities
Strong calendar management skills, including coordination of complex executive meetings across multiple time zones.
Ability to take initiative and ownership over sometimes ambiguous tasks and situations with little oversight.
Hands on experience handling tight deadlines, last-minute changes and ability to pivot quickly.
Execute with a high level of confidentiality, integrity, and discretion.
Exceptional planning and organisational skills
Excellent problem-solving skills and high attention to detail capabilities
Communicate clearly, succinctly, and effectively.
