The Dublin Well Woman Centre The Dublin Well Woman Centre (DWWC) is a leading provider of women’s sexual and reproductive health care, delivering healthcare and counselling services to over 30,000 women annually from its three Dublin clinics. This is an exciting time for the DWWC, as it adapts to the changed healthcare landscape brought about by Covid19, with a renewed strategic plan and a determination to lead through advocacy, and to influence the women’s health agenda nationally. The Dublin Well Woman Centre Head Office requires an experienced Accounts Assistant to join the Finance Team. This is a busy role so someone who is; organised, detail oriented with the ability to work on your own initiative, work as part of the wider operations and finance teams, with the ability to work to agreed deadlines is essential. Responsibilities:

  • Full responsibility for all aspects of the payroll function. Including the preparation and processing of monthly payroll for circa 35 employees including submission of monthly returns on ROS, dealing with joiners and leavers, dealing with staff expenses, training allowances and voluntary deductions made via payroll including pensions.

  • Full responsibility and ownership of the Creditors Ledger, including agreeing off to purchase orders, Posting invoices to Sage, Reconciliation of the creditors ledger to creditors statements at month end. Preparation of payments list for finance manager sign off and putting payments up on IBB for managers authorisation and sending remittances to suppliers.

  • Full responsibility in the reconciliation of all Cash receipts on both a weekly and monthly basis (this includes payments from HSE for services provided in the prior month)

  • Update and maintenance of Bank accounts in Sage 50, including bank reconciliations.

  • Monthly stock take attendance on site at clinics and ongoing reconciliation of stock including valuation of same.

  • Assistance to the Finance manager by reviewing and analysing financial information as required including data input to excel to support the monthly, quarterly and annual management accounts pack and annual budgeting process.

  • Assistance to the Finance Manager as part of year-end audit preparation including liaising with the external audit team.

  • General and ad hoc administration and office duties

Candidate Requirements:

  • The applicant will ideally have a minimum of 3 years’ experience in a busy work environment in a similar role,

  • Qualified/Part Qualified accounting technician preferred, however candidates with significant demonstrable accounts assistant/bookkeeping experience which can be proven will be considered for this busy role.

  • Excellent Analytical and numeracy skills

  • Sage Accounts 50 and Sage payroll experience including up to date knowledge essential.

  • Extremely Strong IT Skills with excellent working knowledge of Excel essential (pivot tables, VLOOKUP, graphs etc)

  • Strong communication skills, understands the need to respect confidentiality, is aware of the GDPR, knows to keep their manager informed on an ongoing basis.

  • Has the ability to document important and relevant communications on an ongoing basis.

  • Ability to anticipate potential challenges/complications; is proactive rather than reactive.

  • Can multi-task without losing focus

  • Manages competing and changing priorities

  • Consistently plans ahead to meet important deadlines.

  • A nice working environment in a city centre location and very reasonable working hours (30 hours per week which is 80% of a full time role).

  • 3 year fixed term contract

  • 16 days Annual Leave, 2.5 days’ study leave and 4 paid sick leave days per year (note this is the 80% pro rata of full time role allocation)
