
The Dominican Sisters are looking for a part-time (2 days per week), job-share Office Administrator / Receptionist. The ideal candidate will have will have excellent IT and communication skills, will have a friendly and positive disposition, and maintain confidentiality in all aspects of the job. The employment will initially be a fixed term contract for six months, which may be reviewed. Primary responsibilities:
Manage Office area.
Providing support to the Employers by performing routine clerical and administrative functions.
Establishing and maintaining office procedures including operating office equipment and learning new technologies as they are developed and implemented.
Maintaining electronic filing systems, databases, etc for records in accordance with Congregation policies and guidelines.
Answer telephones and give information to callers, take messages, or transfer calls to appropriate individuals.
Addressing email enquiries.
Greet visitors and callers, handle their inquiries, direct them to the appropriate person(s) according to their needs and provide refreshments as appropriate.
Be willing to take dictation and transcribe information. Compose, type, and distribute notes, routine correspondence, and reports. This may at times involve some research using the internet e.g. for travel arrangements.
Order and dispense supplies.
Maintaining maintenance contracts and records.
Assisting in the organisation and administration of events for the Congregation.
Any other reasonable work that will suit the employers.
Must also demonstrate the following knowledge, skills and abilities.
Good administration, organisational and time management skills.
Experience in filing.
Ability to work as a member of a team as well as working on own initiative.
Ability to work in what can be a busy environment, at times.
Effective verbal and written communication skills in the English language.
Proficient in the use of Microsoft Office.
Desirable experience.
Office administration in a similar setting.
Experience in maintaining website and social media outreach.
Experience in working with Google Workspace.
