Dominican Sisters: Office Administrator / Receptionist (Part Time)


The Dominican Sisters are looking for a part-time (2 days per week), job-share Office Administrator / Receptionist. The ideal candidate will have will have excellent IT and communication skills, will have a friendly and positive disposition, and maintain confidentiality in all aspects of the job. The employment will initially be a fixed term contract for six months, which may be reviewed. Primary responsibilities:

  • Manage Office area.

  • Providing support to the Employers by performing routine clerical and administrative functions.

  • Establishing and maintaining office procedures including operating office equipment and learning new technologies as they are developed and implemented.

  • Maintaining electronic filing systems, databases, etc for records in accordance with Congregation policies and guidelines.

  • Answer telephones and give information to callers, take messages, or transfer calls to appropriate individuals.

  • Addressing email enquiries.

  • Greet visitors and callers, handle their inquiries, direct them to the appropriate person(s) according to their needs and provide refreshments as appropriate.

  • Be willing to take dictation and transcribe information. Compose, type, and distribute notes, routine correspondence, and reports. This may at times involve some research using the internet e.g. for travel arrangements.

  • Order and dispense supplies.

  • Maintaining maintenance contracts and records.

  • Assisting in the organisation and administration of events for the Congregation.

  • Any other reasonable work that will suit the employers.

Must also demonstrate the following knowledge, skills and abilities.

  • Good administration, organisational and time management skills.

  • Experience in filing.

  • Ability to work as a member of a team as well as working on own initiative.

  • Ability to work in what can be a busy environment, at times.

  • Effective verbal and written communication skills in the English language.

  • Proficient in the use of Microsoft Office.

Desirable experience.

  • Office administration in a similar setting.

  • Experience in maintaining website and social media outreach.

  • Experience in working with Google Workspace.
