Ballymun Job Centre: Administrator / Receptionist (Part Time)


Part-time Administrator / Receptionist based in our Balbriggan Office.

Are you an organised and friendly individual seeking a part-time position in a fast-paced work environment? We are currently looking for a Part-time Administrator/Receptionist to join our team at Ballymun Job Centre. As a crucial member of our team, you will provide administrative support and exceptional customer service to our clients.


Role Responsibilities:

  • Greet and welcome clients and visitors in a professional and friendly manner.

  • Answer phone calls, address inquiries and provide accurate information or direct calls to the appropriate staff members.

  • Take referrals and schedule appointments within agreed timeframes and send appointment letters to clients informing them of their appointment date and time.

  • Input registration forms and other documentation and ensure that relevant paperwork is given to staff members in advance of client meetings.

  • Prepare information packs for clients and ensure that adequate stationery and other paperwork is available.

  • Maintain accurate and organised filing systems for client records, applications and other documents.

  • Provide administrative support to staff members, such as photocopying, scanning and data entry.

  • Maintain the tidiness and orderliness of the reception area.

  • Collaborate with the team to ensure smooth operations and efficient service delivery.

Requirements

  • Proven experience in an administrative or receptionist role is preferred.

  • Strong communication skills, both verbal and written with a professional and courteous demeanor.

  • Excellent organisational and time management skills

  • Proficient in using computers and common office software, e.g., Microsoft Office Suite

  • Ability to handle multiple tasks simultaneously and prioritize effectively.

  • Attention to detail and accuracy in completing administrative tasks.

  • Ability to maintain confidentiality and handle sensitive information.

This is a part-time position (20 hours per week) and is offered on an initial one-year fixed term contract.

Following shortlisting, successful candidates will be invited to attend for interview.

Salary for this position is on a scale between €24,763 and €29,383 (pro rata) depending on experience.
