Background ALONE is a national organisation that supports and empowers older people to age happily and securely at home. We support individuals and their families, work with other organisations, and campaign nationwide to improve the lives of older people. We work with all older people, including those who are lonely, isolated, homeless, living in poverty, or are facing other difficulties. We support them through these challenges to help them find long term solutions. Role Overview This is an exciting opportunity to make a significant contribution to the achievement of ALONE’s vision and strategic goals. The successful candidate will support the operations of the Front Office, including greeting ALONE’s callers and visitors and providing administration support and help to ensure the smooth running of the office. This role will be supported by another team member and your line manager Reporting Relationship You will report directly to the CEO Office in ALONE. Responsibilities Efficient support from ALONE Front Office and Admin Support involves

  • Managing front office; answer ALONE’s main phone line and Hello@alone.ie email, respond to, direct and relay telephone messages.

  • Provide service information, process referrals on calls from any of the above callers hello@alone.ie inbox, voicemails & emails

  • Maintain the Staff contacts listing and support coordinator map.

  • General Administration Office Duties - Filing, typing, photocopying, organizing couriers, faxing etc

  • Office facilities management – ensuring efficiency running of office operations

  • Ordering Stationary and PPE for general use

  • Support Staff adhoc request as appropriate

  • Support mailings or email communications as requested

  • Daily post management and distribution

  • Donations and Rent recording including Scanning back up to fundraising and other department

  • Recording and Distribution of any other deliveries or couriers as required

  • Responsible for the any updates on the relevant policies and procedures related to your area

  • Any other tasks as required

Essential skills & experience

  • Minimum 2 years’ experience in a similar office environment

  • Proven track record of target delivery

  • Ability to work in a team environment

  • PC literate with strong competency in Microsoft Word, Excel, Outlook

  • Ability to liaise with various support functions

  • Excellent telephone manner

  • Attention to detail

  • Ability to multitask and work under pressure

  • Strong interpersonal and organizational skills

Further information The position is an initial 2-year fixed term contract. We work a 35-hour week. The position will require some travel. The salary scale offered for this position will depend on skills and experience.
