We currently have a vacancy for an Administrator on a contract of indefinite duration, in Project Management Office Division. The purpose of this role is to ensure the efficient and effective operation of PMO operational, transactional and support procedures. Responsibilities:
Manage PMO incoming queries (phone and email) and documents for processing
Complete all email work items or route to appropriate team member according to agreed Standard Operating Procedures
Follow up on routed items to ensure satisfactory completion
Provide first line phone support as required and escalate complex queries to appropriate person.
Routinely test workflow to ensure all items are handled as per Standard Operating Procedures
Identify issues with workflow and initiate improvements with PMO Operations and Process Analyst
Enter data into relevant systems accurately and promptly (ad–hoc or batched entry of data).
Process PMO financial transactions and procurements and ensure effective monitoring, controlling & reporting of PMO budget
Anticipate and Process PMO procurements in a timely manner
Track PMO spend and prepare required ad-hoc analysis and scheduled reports
Ensure conformance with reporting and control standards
Provide logistical support to Operations and Process Analyst in delivery of Project/Process Management Training & Development Programme and PM Forums
Ensure training schedule is published and up to date
Book required venues and facilities for training, forums and workshops
Prepare and collate training packs as required
Liaise with venues and training facilitators
Ensure required facilities are in place on the day
Support effective management of PMO internal and external resources including vendor management and relationship management
Support the Portfolio Assurance Manager in the management of Assurance activities
2-3 years in an operational support role environment with experience in administration of a busy office environment.
1-2 years’ experience in a project environment.
Strong MS Office suite skills - Intermediate to Advanced Excel skills essential
Understanding of project management software is advantageous.
Knowledge of SAP is advantageous
Ability to input data accurately and to resolve issues in complex data sets
Good knowledge of Project and Programme Management principles, tools and techniques.
SharePoint/Document Management System configuration experience
Highly methodical and organised
Quality minded with a strong attention to detail
Strong service ethos with a customer viewpoint and helpful disposition
Excellent time management - confident completing multiple simultaneous tasks successfully
Ability for independent working and collaborative problem solving
Continuous improvement mentality
