Administrative Officer (Student Support Services_Trinity College Dublin, The University of Dublin


The Purpose of the Role Trinity Business School wishes to recruit an Administrative Officer to join our Student Support Services team which is responsible for providing a comprehensive support service to TBS students and those who deliver our programmes. The successful candidate will report to the Student Support Services Manager and will work closely with the Director of Undergraduate Teaching & Learning and the Director of Postgraduate Teaching & Learning and Programme Directors. This is a busy role with a specific focus on delivering a world-class experience for our students in relation to programme administration. The position will therefore allow the successful candidate to play an integral role in enhancing the student experience through delivering/enabling a streamlined, customer-focused service. Context Trinity Business School is at an advanced stage of a transformative high growth strategy which began in 2016. It has AACSB, AMBA and EQUIS accreditations, placing it amongst a select 0.6% of business schools in the World who are triple accredited. The delivery of the Trinity Business School strategy involves growth driven primarily through the development of new degree programmes and the expansion of executive education activity. Business Schools operate in a very competitive marketplace and it is critical that Trinity Business School provides a student experience that is in line with international standards. Additionally, the delivery of a highly flexible, responsive and effective service is critical to the implementation of the School’s Rankings and Accreditation strategies Main Responsibilities Programme Management

  • Line-manage members of the Student Support Services team - this includes monitoring and managing work performance, allocating work, recruitment, pastoral care, coaching and mentoring.

  • Manage all aspects of the School’s programmes from registration through to graduation (timetabling; preparation of examination papers and examination results; progression of results; collating course materials; updating programme handbooks; maintenance of SITS module records; maintenance of MAPs; liaising with external lecturers and External Examiners; management of the court of examiner process; preparation of transcripts).

  • Be responsible for the achievement of the Team performance evaluation and quality goals.

  • Manage the evaluation process for modules and programmes to ensure quality assurance at School, College and International level.

  • Coordinate activities with Programme Directors to create an integrated support system for students and staff.

  • Manage relationships with multiple stakeholders including class representatives, Programme Directors, Academic Registry and external partners.

  • Contribute to the organization of key student events including, but not limited to, orientation and graduation events.

  • Act as Committee Secretary for the School Committee and for Programme Committees as required and implement actions arising from the decisions of the Committees.

  • Contribute to the accreditations process by gathering, reviewing and maintaining accreditation data and producing related statistics for inclusion in accreditation submissions.

  • Work with colleagues to develop and maintain common standards for student support across the School, based on best practice.

  • Perform other duties that will arise from time to time and as directed by the Business Development & Operations Manager and School Administrative Manager.

Person Requirements The role-holder will require the following knowledge, skills and attributes for successful performance in the role. Qualifications

  • Hold a third level qualification at degree level

Knowledge

  • Knowledge of the business education sector (desirable).

  • A thorough knowledge of College regulations, in particular, academic programmes and student-related regulations (essential).

Experience

  • At least five years’ professional administrative experience (essential) preferably in an international Business School environment (desirable);

  • Experience in the provision of high caliber customer support (essential);

  • Excellent IT skills (essential) including experience using CMIS and SITS (desirable);

  • Experience of working to tight deadlines, multi-tasking and managing different and conflicting demands (essential).

Skills & Competencies

  • Excellent interpersonal skills and service-mindedness with the ability to interface collegially and effectively with others and foster good working relationships (essential).

  • Proficient computer skills with a high-level of competency in MS Office packages (Word, PowerPoint, Excel) (essential) as well as experience using CMIS and SITS (desirable).

  • Ability to problem-solve, prioritise and work on own initiative (essential).

  • Ability to operate flexibly within a busy work environment and be able to shift focus when required (essential).

  • Has a ‘can-do’ attitude and is committed to the aspirations of TBS (essential).
