Full Job Description
Reporting to the Finance Manager, the Administrative Officer exercises a key role, providing day-to-day administrative support in a number of areas across DCU Educational Trust including office administration, events, and personal assistance to the CEO and members of the senior management team. Hybrid working role. Duties and Responsibilities Office Administration
Manage the day-to-day administration of the DCUET office
Act as liaison between DCUET and DCU offices and faculties
Reception: manage the main phone line, email account, couriers, post
Stationery orders
Organise office maintenance requests with DCU Estates
Schedule team meetings and take minutes
Organising meeting room bookings and catering requests
Council of Trustees meeting preparation: reminders, printing packs, room bookings
and technical set-up on day (Quarterly)
Travel bookings: domestic and international travel
Finance: Generate purchase requisitions; respond to invoice / payment queries;
manage subscriptions
Credit card statement reconciliation (monthly)
Organise induction schedules and IT and admin set-up for new staff
Events and Mailings Support
Mail merges for supporter mailings and event invitations
Printing and binding Communications materials e.g. donor stewardship reports
Assist with event organisation and providing support on the day, including
printing name badges, sign-in sheets, registration desk, RSVPs Personal Assistant Support
Provide diary management and general day-to-day admin support to the CEO, and
members of the DCUET senior management team, as required. The above list of job duties is not exclusive or exhaustive and the post holder will be required to undertake such tasks as may be reasonably be expected within the scope and grading of the post. Qualifications and Experience Minimum criteria Experience working in the areas of office support is essential. In addition, it is desirable that the candidate possess a subset of the following skills:
A proven track record of working in a team as well as handling aspects
independently
Familiarity with the operations of a fundraising environment
A proven track record of providing personal assistance support and diary
management
A self-starting attitude, good interpersonal skills and good technical expertise
Familiarity with the Agresso finance system would be a distinct advantage
