Administrative Assistant Position – Home School Community Liaison (HSCL) The Dublin West Education Centre provides training, development and support for teachers and the wider school community. It has responsibility for in-service education for teachers in the west Dublin area and administers the Home School Community Liaison (HSCL) programme. A full-time administrative support person is required for the HSCL programme. The role is offered on a one year fixed term contract basis and is tenable from March 2023. Principal Duties of Position The successful candidate will work to the National Manager of the Home School Community Liaison Programme and will have responsibility for:

  • Telephone and post duties

  • Administration duties related to the HSCL programme

  • Preparation of reports

  • Processing registration of attendance at seminars/evaluation forms

  • Design and maintenance of database of all HSCL schools and related information

  • Attendance at, and taking minutes of, meetings, circulation of agendas, compilation of reports and maintenance of any other records required

  • Arrangement of purchases in agreed manner complying with Internal Audit and Department of Education guidelines and in consultation with the Administrator

  • Ordering of materials and supplies for HSCL National Coordination Team in consultation with the Administrator

  • Dealing with queries from School Principals, Department of Education and other school personnel in relation to HSCL

  • Sourcing of venues for training, reviews and securing reservations

  • Attendance at seminars when required, to provide admin support to HSCL National Coordination Team

  • Preparation of materials for training as directed by National and Regional Managers

  • Other duties related to the programme that may arise from time to time

Qualifications & Experience Requirements – the ideal candidate will have:

  • Excellent organisational skills including office administration, information management and record-keeping

  • The ability to work flexibly where required both on one’s own and as part of a team

  • The communication and interpersonal skills to work with local HSCL coordinators, school personnel and other office staff

  • Excellent ICT skills including Microsoft Office (Word, Excel & PowerPoint) and a good knowledge of databases and spreadsheets

  • An ability to process work with a high level of attention to detail

  • An ability to work through the medium of Irish will be an advantage

  • The ability to work under pressure when required

  • The ability to manage a busy workload in a fast paced environment

Desirable

  • Knowledge of the Irish education system

  • Experience of working in academic administration and liaising with schools/other education partners

  • Experience of working in a bilingual Irish/English environment
