Administrative Assistant, Dublin Institute for Advanced Studies

The Dublin Institute for Advanced Studies (DIAS) is seeking an experienced administrative assistant to provide high-level administrative support to the central administrative team. 

DIAS is a dedicated research organisation that attracts researchers and scholars from around the world. It conducts and publishes advanced research across three areas: Celtic Studies, Theoretical Physics and Cosmic Physics (encompassing Astronomy, Astrophysics and Geophysics). 

This is an exciting role for a motivated individual who will have the opportunity to play a key role in supporting the office of the CEO/Registrar in achieving institutional strategic and operational objectives.

Key Responsibilities

The key duties and responsibilities of the position include, but are not restricted to, the following:

  • Assisting with annual pension administration activities - maintaining and updating records on scheme membership, preparation of leaver/annual benefit statements, compiling data for public sector pension scheme reporting.

  • General HR support, administering staff schemes such as Bike to Work, Travel Pass and Employee Health Screening, co-ordinating annual SPDS (Staff Performance Development System), organising staff training.

  • Assisting with ongoing PR/Communications activities, including content  management on all DIAS social media channels (using WordPress), organisation of internal and external corporate events and compilation of various promotional material and reports. 

  • Co-ordinating submission process for research funding applications, assisting applicants with queries and ensuring proposals are submitted and endorsed within the relevant deadline.

  • General PA duties for Registrar & CEO as required.

  • Occasional Reception/Front of House cover in absence of Front of House Officer

  • Undertaking the duties of the Reception/Front of House Officer when they are absent on leave.

  •   Other administrative duties as required to support the needs of the Central Admin team.


Candidates must have previous administrative experience, possess excellent communication/ interpersonal, organisational and IT skills This is a busy and varied role requiring self-motivation, attention to detail, discretion and excellent organisational and interpersonal skills. 

General Eligibility

Candidates will be required to provide evidence of right to work in Ireland. Persons who were previously employed under the public sector and who left/retired under the terms of certain incentivised schemes/severance agreements, with restrictions on re-employment in the public sector may not be eligible to apply. Applicants who have previously worked in the public sector will be required to declare whether they have previously availed of a Public Service scheme of incentivised early retirement/redundancy.
